Overview

The Welcome Guide PDF is a printable handout generated from your Property Guide. Hosts use it for in-unit reference (a tabletop binder), for hand-off to cleaners, and for emailing guests who prefer a single document over a portal. The PDF mirrors the guide's visibility and pinning settings — host_only sections never appear, guest_only and both sections do.

How it works

The three actions

From the property page, the Welcome Guide PDF card shows three buttons:

  • Download — fetches the latest PDF rendered from your current Property Guide.
  • Share with guest — copies a link to the PDF and offers a message template. Useful when a guest asks for a single-file summary.
  • Regenerate — forces a fresh render. The PDF caches for performance; regenerate after a guide edit if the cached version is stale.

All three render as real buttons aligned to the same row (a small but real polish item that shipped late May 2026).

What's included

  • All guide sections with visibility both or guest_only
  • Section grouping (Arrival, In Stay, Departure)
  • The order from the guide editor
  • Property name, address (if you've enabled it), and your host contact info

What's NOT included:

  • host_only sections
  • Access codes (codes are pack-managed, not guide-managed)
  • Anything from a per-stay override (the PDF is property-level, not reservation-level)

Branding

The PDF uses your tenant's name and logo if you've uploaded one in account settings. Otherwise it's neutral.

When the PDF updates

The PDF is generated lazily. The first Download after a guide edit may take 2–5 seconds while the renderer runs. Subsequent downloads hit the cache. Click Regenerate to force a fresh render.

Limits and requirements

  • Plan: Welcome Guide PDF is included on Host and Portfolio. Comply tier hosts can configure the guide but can't generate the PDF.
  • Format: PDF only. No DOCX or Markdown export.
  • Size: Generated PDFs are typically 200–800 KB. Very long guides with many images may push past 1 MB.

FAQ

How do I send the Welcome Guide PDF to a guest?

Click Share with guest — the dialog gives you a copy-to-clipboard link plus a suggested message. Paste into your messaging surface of choice (the Message drawer, your iMessage, etc.).

Why didn't my guide change show up in the PDF?

The PDF is cached. Click Regenerate to force a fresh render. The cache key is the property + the last guide updated_at, so any save normally invalidates — but if you don't see the change, regenerate.

Can I customize the PDF layout?

Not today. The renderer uses a fixed template optimized for printable handouts. If you want a branded variant, raise an ops ticket; it's on the roadmap.

Can guests download the PDF themselves?

If you share the link via Share with guest, yes. There is no in-portal Download button on the guest stay portal because the guest already has the live guide on their phone.

Does the PDF include access codes?

No. Access codes are pack-managed and live on the Access card in the stay portal — not in the Welcome Guide. This is by design; PDFs get printed and left in units, and printing a 30-day code on paper is a security gap.
