Overview

Archiving removes a property from active use without deleting any of its data. You might archive a property for a seasonal pause, when you are over your plan's property limit, or when you stop renting a unit but want to keep the records for tax purposes.

How it works

  1. Open the property you want to archive and go to the Settings tab.
  2. Scroll to the bottom and click Archive Property.
  3. Confirm the action in the dialog.

Once archived:

  • The property moves to the Archived section of your properties list.
  • No new expenses, revenue entries, work logs, mileage trips, reservations, or checklist runs can be created under the property.
  • Guests lose access to the property's guest portal and property website.
  • All existing data (expenses, revenue, logs, checklists, guest records) is preserved and remains accessible in read-only mode.
  • The property no longer counts toward your plan's active property limit.

Unarchiving

  1. Go to the Archived section in your properties list.
  2. Click the property, then click Unarchive.
  3. The property returns to active status and counts toward your limit again.

You can only unarchive a property if you have an available slot under your current plan. If all your slots are full, you need to upgrade, add a Property Pack, or archive a different property first.

Limits & requirements

  • Archiving is available on all plans.
  • You must be the account owner or a tenant admin to archive or unarchive a property.
  • Archived properties retain all data indefinitely. Nothing is deleted.
  • You cannot create new records on an archived property. To resume tracking, unarchive it first.

FAQ

Is archiving the same as deleting? No. Archiving preserves all your data. You can view past expenses, revenue, and logs at any time. Deleting a property is a separate, permanent action.

Why would I archive instead of delete? If you need the historical records for tax filing or compliance, archiving keeps everything intact. Deleting removes the property and its data permanently.

Can I archive a property to free up a slot for a new one? Yes. Archived properties do not count toward your plan's active property limit. This is a common way to stay within your plan when you manage seasonal rentals.

What happens to scheduled checklists when I archive? Any future auto-created checklists for the property are cancelled. Completed checklist runs remain in the archive for reference.
