Overview
Inviting a guest gives them access to your property's information, checklists, and messaging for the dates you specify. The guest receives an email invitation and creates a free ArrivHQ account to accept it.
How it works
- Navigate to the Guests section of the property you want to invite someone to.
- Click Invite Guest.
- Enter the guest's email address.
- Select the property (if not already selected).
- Set the check-in and check-out dates for the stay.
- Click Send Invitation.
The guest receives an email with a link to accept. If they already have a ArrivHQ account, they sign in and the stay is added to their dashboard. If they are new to ArrivHQ, the link walks them through creating a free account.
Once the guest accepts, they appear in your guest list with their stay dates and status.
Manual link delivery
Skip the email send entirely if you want to deliver the invite via SMS, WhatsApp, or an OTA channel like Airbnb chat. After clicking Invite Guest, choose Generate a shareable link instead of entering an email. The link is copied to your clipboard along with a suggested message. Send it through any channel you like.
Who invited each guest
The Guests panel shows an inviter signal on each row — whether you (the host) invited that guest directly, or the main guest invited them via the Guests tab on their portal (when guest self-add is enabled). This is useful when a party adds members mid-stay and you want to know who's vouching for whom.
Recovering a lost link
If a guest can't find the original email or you delivered via a channel you don't have access to anymore, the invite link can be recovered from the reservation's Guests panel. See recovering an invite link.
Limits & requirements
- You need a valid email address for the guest.
- Stay dates must include a check-in date. Check-out date is required.
- You can invite the same guest to multiple stays at the same or different properties.
- There is no limit on the number of guests you can invite, regardless of your plan.
FAQ
What does the guest see in the invitation email? The email includes your property name, the stay dates, and a link to accept the invitation. It does not include your address or other private details until they accept.
Can I invite a guest without setting dates? No. Stay dates are required so ArrivHQ knows when to grant and revoke property access.
What if the guest doesn't accept the invitation? The invitation remains pending. You can resend it from the Guests section or cancel it and create a new one.
Can I change the dates after sending the invitation? Yes. You can edit the stay dates at any time from the guest's stay details, whether or not they have accepted yet.
