Overview
When someone leaves your team or no longer needs access, you can disable their membership. Disabling a member revokes their access immediately while preserving their historical contributions to your records.
How it works
- Go to Settings > Team.
- Find the member you want to remove and click the options menu.
- Select Disable. The member's status changes to Disabled and they lose access to your organization immediately.
- All of their property assignments are removed at the same time.
- If the person belongs to other Valzotra organizations, they are switched to one of those automatically. If this was their only organization, their JWT is cleared.
What is preserved
- Work logs, mileage logs, expenses, and other records created by the removed member remain in your data. Their
user_idstays attached to those records for audit purposes. - Audit log entries referencing the member are kept.
- Completed checklist runs attributed to the member are not deleted.
What is removed
- The member's access to all properties in your organization.
- Their ability to log in to your organization.
- Any pending property assignments associated with their membership.
Re-enabling a member
If you need to restore someone's access, you can re-enable a disabled member from the team list. Re-enabling sets their status back to active, but you must manually re-assign their property roles — previous assignments are not restored automatically.
Limits & requirements
- You must be an owner or admin to disable a team member.
- You cannot disable the last remaining owner. Promote another member to owner first.
- Disabling a member frees their seat, allowing you to invite someone else.
- A member can also leave voluntarily using Settings > Leave Team. The sole owner cannot leave — they must transfer ownership or delete the organization.
FAQ
Can I permanently delete a team member? No. You can only disable members. This preserves the integrity of historical records and audit logs.
What happens to their checklists? Completed checklist runs remain in your records. Any in-progress checklists assigned to the removed member stay in their current state but will no longer be accessible to that person.
Does removing a member affect my billing? Removing a member frees a seat on your plan. Your subscription amount does not change, but you can use the freed seat to invite someone else.
Can a removed member still see my data? No. Access is revoked immediately when a member is disabled. They cannot view any of your organization's properties, reservations, expenses, or other data.
