Overview
Tasks in Valzotra help you track one-off and recurring property work -- repairs, purchases, inspections, and anything else that needs to get done. Every task is a container with one or more checkable sub-tasks, so you can break a job into individual steps and track progress as each one is completed.
Tasks are separate from checklists. Checklists are reusable templates tied to reservations and turnovers. Tasks are standalone items for property maintenance, improvements, and ad-hoc work.
How it works
- You create a task on a specific property with a title, category, priority, and optional due date.
- Valzotra automatically creates the first sub-task from the title or from the "first task" field you provide.
- You can expand the task card and add more sub-tasks to break the job into smaller steps.
- As team members check off sub-tasks, the parent task tracks progress automatically -- when all sub-tasks are complete, the task is marked done.
Task cards appear in two places:
- Tasks overview page (
/tasks) -- shows tasks across all your properties with filters for status, urgency, category, property, and date range. - Property detail page -- the Tasks panel on each property shows only that property's tasks.
The same card design is used in both locations. Each card shows the task title, category badge, priority badge, due date, and a progress indicator for sub-tasks.
For step-by-step instructions, see:
- Creating Tasks -- creating from the overview page and from a property, recurring tasks
- Managing Sub-Tasks -- expanding cards, checking off items, adding and editing sub-tasks
- AI Import -- paste dictated text and let AI extract structured tasks (Host and Portfolio plans)
- Editing & Deleting Tasks -- inline editing, canceling, and deleting tasks
Limits & requirements
- Tasks are available on all paid plans (Comply, Host, and Portfolio).
- AI Import requires the Host or Portfolio plan.
- Only owners, admins, and team members with a manager property role can create, edit, and delete tasks.
- Cleaners and maintenance team members can view and complete tasks assigned to them, but cannot create or edit tasks.
- There is no limit on the number of tasks per property.
- Sub-tasks cannot be nested -- a sub-task cannot have its own sub-tasks. Maximum depth is one level.
FAQ
What is the difference between a task and a checklist? A task is a standalone work item with sub-tasks. A checklist is a reusable template with defined steps that can be triggered automatically by reservations. Use tasks for one-off work and checklists for repeating operational workflows.
Can I assign a task to a team member? Yes. When creating or editing a task, you can assign it to a specific team member or to a role (e.g., all cleaners). Assigned team members see the task in their filtered view.
Can I create the same task across multiple properties? Yes. The bulk creation feature lets you select multiple properties and create the same task on all of them in one action. Each property gets its own independent copy of the task with its own sub-tasks.
