Overview
After creating a task, you can update its details, adjust the due date, or delete it entirely. Editing is done inline from the property detail Tasks panel. Deleting a task permanently removes it and all of its sub-tasks.
How it works
Editing a task
From the property detail Tasks panel, click the edit button on a task card to modify:
- Title -- update the task name.
- Description -- add or change details and notes.
- Due date -- set, adjust, or remove the target date.
- Category -- reassign to a different category (Maintenance, Landscaping, Cleaning, Inspection, Safety, Supplies, or General).
- Priority -- change the priority level (Low, Medium, High, or Urgent).
Changes are saved when you confirm. The task's sub-tasks are not affected by edits to the parent task fields.
Navigating to edit mode
On the Tasks overview page (/tasks), clicking a task title navigates you to the property detail page with the task expanded in edit mode. This lets you quickly jump from the cross-property task list to the specific property context where you can make changes.
Filtering and searching
The Tasks overview page provides several filters to help you find specific work:
- Status -- Pending, In Progress, Overdue, Completed, or Cancelled.
- Urgency -- Overdue, Due Today, Due Tomorrow, Upcoming, or No Due Date.
- Source type -- filter between tasks, checklists, and guest checklists.
- Property -- narrow to a specific property.
- Date -- Today, This Week, Next 7 Days, or This Month.
- My Tasks -- toggle to show only tasks assigned to you.
Canceling a task
To cancel a task without deleting it, use the Cancel status change. Canceled tasks are preserved in your task history and can be filtered out of active views. Canceling is useful when work is no longer needed but you want to keep a record.
Deleting a task
To delete a task, click the Delete button on the task card. Deleting a task permanently removes:
- The task record itself
- All sub-tasks within the task
This action cannot be undone. If you want to preserve the task for your records but mark it as no longer active, consider canceling it instead of deleting it.
Limits & requirements
- Only owners, admins, and team members with a manager property role can edit and delete tasks.
- Cleaners and maintenance team members can view tasks and complete sub-tasks but cannot edit or delete tasks.
- Deleting a task is permanent and cannot be undone.
- Deleting a task removes all of its sub-tasks.
- An active paid subscription is required to edit or delete tasks.
FAQ
Can I recover a deleted task? No. Deletion is permanent. Both the task and all of its sub-tasks are removed. If you are unsure, cancel the task instead.
Does editing a task change its status? No. Editing the title, description, due date, category, or priority does not change the task's completion status. Status is always derived from sub-task progress (see Managing Sub-Tasks).
Can I move a task from one property to another? No. Tasks belong to a single property. If you need the same task on a different property, create a new task on the target property and delete the original.
What is the difference between canceling and deleting? Canceling preserves the task in your history with a Cancelled status. Deleting permanently removes it. Use cancel when you want a record of work that was planned but not completed. Use delete when the task was created in error or is no longer relevant.
