Overview

Valzotra provides a structured system for documenting property damage. You can record incidents, attach photos, track estimated repair costs, and manage the resolution process. This documentation supports insurance claims, deposit disputes, and tax record-keeping.

Valzotra stores your damage documentation but does not submit insurance claims or process deposit disputes on your behalf. Those actions happen outside of Valzotra with the platforms (Airbnb, VRBO) or your insurance provider. Valzotra gives you organized records to reference when you do.

How it works

  1. When you discover damage at a property, create a damage claim from the Damage section in the sidebar.
  2. A claim contains one or more issues -- individual items that were damaged (e.g., a broken lamp, a stained carpet). Each issue has its own title, description, severity, estimated cost, and photos.
  3. Valzotra assigns the claim an Open status and creates a set of resolution steps to guide you through the process: documenting damage, recording estimates, notifying platforms, scheduling repairs, verifying completion, and closing the claim.
  4. As you work through the resolution, update the claim status and add notes. Attach before-and-after photos to each issue.
  5. When the matter is resolved, close the claim with final cost records.

If a claim is linked to a reservation, guests can see a simplified view of the claim status (under review, resolved, or closed) through the guest portal, but they cannot see internal notes, estimates, or resolution details.

Limits & requirements

  • All team members with access to a property can view damage claims for that property. Owners and admins can view claims across all properties.
  • An active paid subscription (Comply, Host, or Portfolio) is required to create damage claims.
  • On the Comply plan, damage claim history is limited to a rolling window. On Host and Portfolio, history is unlimited.
  • Severity levels are: minor, moderate, and major.
  • Each claim must be associated with a property. Linking to a reservation is optional.
  • Photo uploads are supported in JPEG, PNG, and WebP formats with a 2 MB per-file limit (after compression).

FAQ

Does Valzotra file insurance claims for me? No. Valzotra is a documentation tool. You create and manage your own claims with your insurance provider or booking platform. Valzotra organizes the records you need to support those claims.

Can guests see my damage claims? Guests can see a simplified status (under review, resolved, or closed) for claims linked to their reservation. They cannot see your internal notes, cost estimates, severity ratings, or resolution steps.

What is the difference between a claim and an issue? A claim represents an incident -- something happened at a property. Issues are the individual items within that incident. For example, a post-checkout inspection might result in one claim with three issues: a broken mirror, a stained couch cushion, and a damaged door frame.

Can I create a damage claim without a reservation? Yes. The reservation field is optional. You can document damage discovered during maintenance, between stays, or at any other time.
