Overview

When you discover damage at a property, you create a damage claim in Valzotra to start a structured documentation trail. The claim form captures the property, an optional reservation link, and one or more individual damage issues with details and photos.

How it works

  1. Navigate to Damage in the sidebar and click New Claim.
  2. Fill in the claim header:
    • Title (required) -- a short summary of the incident. Valzotra auto-suggests a title in the format "Damage -- [Property Name] -- [Date]" when you select a property.
    • Property (required) -- select the property where the damage occurred.
    • Reservation (optional) -- if the damage is associated with a guest stay, select the reservation. This links the claim to that guest's record and makes a simplified status visible in the guest portal.
    • Description (optional) -- an overall incident summary providing context.
  3. Add one or more damage items (issues):
    • Title (required) -- what was damaged (e.g., "Broken lamp shade", "Stained sofa cushion").
    • Location (optional) -- where in the property the damage is (e.g., "Master bedroom", "Kitchen").
    • Severity (required) -- select minor, moderate, or major.
    • Estimated cost (optional) -- your estimate for repair or replacement, in dollars.
    • Description (optional) -- additional details about the damage.
    • Photos (optional) -- attach photos of the damage directly in the form. You can upload multiple photos per item.
  4. Click Submit Claim.

Valzotra creates the claim and all issues in a single operation. Photos are uploaded and attached to their respective issues after the claim is created. The claim starts in Open status, and a set of resolution steps is automatically generated.

You can also create a claim from a property detail page by navigating to the property and selecting the damage option, which pre-fills the property field.

Limits & requirements

  • A claim must have a title and a property.
  • At least one issue is required, and each issue must have a title.
  • Severity is required for each issue and must be minor, moderate, or major.
  • Photos are accepted in JPEG, PNG, and WebP formats. Each file is compressed on upload and must be under 2 MB after compression.
  • The reservation dropdown shows the most recent 50 reservations for the selected property.
  • An active paid subscription is required to create claims.

FAQ

Can I add more issues to a claim after submitting it? Yes. After the claim is created, you can add additional issues from the claim detail page. Each new issue gets its own title, severity, and photos.

What if I do not know the estimated cost yet? The estimated cost field is optional. You can leave it blank when creating the claim and add or update it later as you get repair quotes.

Do I need to add photos at creation time? No. Photos are optional and can be added at any time. However, documenting damage with photos as soon as possible strengthens your records for insurance or deposit claims.

Can multiple team members contribute to the same claim? Yes. Any team member with access to the property can view and update the claim, add issues, and upload photos.
