Overview
The mileage summary gives you a high-level view of your total business miles — broken down by property and by time period. Use it to review your driving activity, prepare for tax filing, or generate exports for your accountant.
How it works
- Go to Mileage in the sidebar. Your mileage log shows all entries sorted by date.
- Use the filters to narrow the view:

| Date range (From / To) | Shows only trips within the selected dates. |
| Search | Searches across origin, destination, and purpose fields. |
- The list view displays each trip with its date, origin, destination, miles, purpose, and property name.
- Use the sort controls to order entries by trip date or miles driven, in ascending or descending order.
Pagination
The mileage list displays 25 entries per page by default. You can navigate between pages or load all entries at once for a complete view.
Using mileage data at tax time
At the end of the year (or at any point), filter your mileage log by the tax year's date range to see your total business miles. Multiply the total by the IRS standard mileage rate for that year to calculate your deduction. You can also filter by property to get per-property totals for Schedule E reporting.
Exporting
You can export your mileage data for offline use or to share with your accountant. See Exporting for details on export formats and how to generate them.
Limits & requirements
- All plans have access to the mileage summary view.
- Filters can be combined (e.g., a specific property within a specific date range).
- Search matches against origin, destination, and purpose text.
- Members with limited property access only see mileage entries for their assigned properties.
FAQ
Can I see a total across all properties? Yes. When no property filter is applied, the list shows all mileage entries across your entire portfolio. The total miles are the sum of all displayed entries.
How do I get a per-property breakdown? Use the property filter to select one property at a time. The displayed entries and totals will reflect only that property.
What if some trips are not assigned to a property? Unassigned trips appear in the overall mileage list but are excluded from per-property filtered views. You can use batch update to assign them to a property retroactively.
Can team members see all mileage entries? Owners and admins see all mileage entries. Members with the Manager, Bookkeeper, or Viewer property role can see mileage entries for their assigned properties. Cleaners and maintenance members cannot view mileage logs.
