Overview

Valzotra lets you export your compliance records so you can share them with your CPA, respond to an IRS inquiry, or keep offline backups. Exports produce point-in-time snapshots of your data — they reflect exactly what was in Valzotra at the moment you generated them. You can export records for a single property or across all properties, filtered by any date range.

How it works

Generating an export

  1. Navigate to the Compliance section in the sidebar.
  2. Select the export type: work logs, expenses, mileage, or revenue — or choose All records for a combined export.
  3. Choose a date range. Common presets include the current calendar year, the previous calendar year, and the current quarter. You can also set a custom start and end date.
  4. Choose the scope: a single property or all properties.
  5. Click Export to generate the file.

Export formats

Valzotra supports the following export formats:

  • CSV — Comma-separated values that open in Excel, Google Sheets, or any spreadsheet application. Best for sharing with your CPA or importing into tax preparation software.
  • PDF — A formatted report with totals and summaries. Best for printing, attaching to correspondence, or providing to an accountant who prefers a readable document.

What each export contains

Work logs export includes the date, property name, activity type, hours, and description for each entry. The export shows a running total and a grand total of hours for the selected period.

Expenses export includes the date, property name, category, vendor, amount, description, and whether a receipt is attached. The export shows subtotals by category and a grand total for the selected period.

Mileage export includes the date, property name, origin, destination, round-trip distance, purpose, and the applicable IRS standard mileage rate. The export shows total miles and the calculated deduction amount for the selected period.

Revenue export includes the date, property name, source, gross amount, and any notes. The export shows a grand total of revenue for the selected period.

All records export combines all four record types into a single file, with each type in its own section (CSV) or on its own page (PDF).

Cross-property exports

If you are on the Portfolio plan ($49/mo) and manage multiple properties, you can export records across all properties at once. Cross-property exports include a property column so you can filter or sort by property in your spreadsheet. This is particularly useful if you make a grouping election and need to show your CPA aggregate hours across all rental activities.

Point-in-time snapshots

Each export captures your data as it exists at the moment you click Export. If you edit or delete a record after exporting, the export file is not affected. For this reason, many hosts generate exports at the end of each quarter or year and store them as a permanent record.

Limits & requirements

  • Exports are available on all paid plans (Comply at $19/mo, Host at $34/mo, Portfolio at $49/mo).
  • Cross-property exports require the Portfolio plan.
  • There is no limit on the number of exports you can generate.
  • Export files are generated in your browser and downloaded directly to your device. They are not stored in Valzotra.
  • Date ranges can span any period for which you have data. There is no maximum range.

FAQ

What format should I send my CPA? Ask your CPA. Most prefer CSV files because they can sort, filter, and integrate the data into their own tools. PDF exports work well for a quick overview or when a formatted summary is more useful than raw data.

Can I export records for a prior tax year? Yes. Set the date range to the desired year (e.g., January 1 through December 31) and generate the export. Your records remain available for as long as your account is active.

What happens if I edit a record after exporting? The export file is not affected. It reflects the data at the time it was generated. If you need an updated version, generate a new export.

Can I export records for a single property on the Comply plan? Yes. Comply plan users can export records for their one property in any format and date range.

Are receipt images included in exports? Receipt images are not embedded in CSV or PDF exports. The expense export includes a column indicating whether a receipt is attached. You can download receipt images separately from the expense detail view in Valzotra.

How often should I export? At minimum, generate an annual export after the calendar year ends. Many hosts also export quarterly to maintain periodic snapshots. Store export files in a safe location outside of Valzotra as part of your record-retention practice.
