Overview
After connecting a bank account, imported transactions appear in the review queue at Financials > Bank Sync. Each transaction is staged -- it does not become a permanent expense or revenue entry until you explicitly approve it. This gives you full control over what enters your financial records.

How it works
The review queue
Navigate to Financials > Bank Sync to see your imported transactions. The page shows:
- A summary sidebar with pending count, expense vs. revenue breakdown, and totals
- Filters for status, direction (expense/revenue), and property
- Transaction cards showing merchant, date, amount, account, and suggested category
- Bulk selection with select-all checkbox for batch operations
Transaction states
Each imported transaction has a review status:

Approving a transaction
Quick approve -- Click Approve on any transaction to create a permanent record immediately using the defaults (merchant as vendor, suggested category, assigned property).
Edit and approve -- Click Edit to expand the transaction and change fields before approving:
- Vendor -- edit the merchant name
- Type -- switch between expense and revenue if the system guessed wrong
- Property -- assign or change the property
- Category -- select an IRS Schedule E expense category (for expenses) or channel and revenue type (for revenue)
- Notes -- add optional notes
Click Save & Approve to create the permanent record with your changes.
Dismissing a transaction
Click Dismiss to mark a transaction as not relevant. Dismissed transactions are hidden from the default view but remain accessible under the "Dismissed" filter. Dismissing does not delete the record -- you can find it later if needed.
Pending (unposted) transactions
Some credit card transactions appear as "pending" before they post to your account. Pending transactions show a yellow Pending badge and cannot be approved until they post. Once the bank confirms the transaction, the badge disappears and approve becomes available.
Bulk actions
Use the checkboxes to select multiple transactions, then:
- Approve -- approve all selected transactions as permanent records
- Edit -- open a modal to set property and category for all selected, then the changes are applied without approving (you can approve separately)
- Dismiss -- dismiss all selected transactions
- Cancel -- clear the selection
Bulk edit is useful when you have many transactions from the same vendor that all need the same category and property.
Where approved transactions go
- Expenses show in Financials > Expenses with a blue "Bank" badge indicating they came from bank sync
- Revenue shows in Financials > Revenue with the same "Bank" badge
- Both the expense and revenue list pages have a Source filter to show only bank-synced entries
Limits & requirements
- Requires the Host plan ($34/mo) or higher.
- Pending (unposted) transactions cannot be approved -- wait for them to post.
- Approved transactions cannot be un-approved from the review queue. Edit them from the expense or revenue detail page if needed.
- Dismissed transactions can be found under the "Dismissed" filter but cannot be un-dismissed.
- The review queue shows up to 25 transactions per page with pagination.
FAQ
What if bank sync imported a transaction I already entered manually?
Dismiss the duplicate from the review queue. Your manual entry is unaffected. In a future update, ArrivHQ will flag likely duplicates automatically and suggest matches.
Can I change a transaction from expense to revenue?
Yes. Click Edit on the transaction, change the Type dropdown from "Expense" to "Revenue" (or vice versa), and approve.
What category should I use for expenses?
ArrivHQ uses IRS Schedule E categories. If you are unsure, check with your tax advisor. Common categories for STR hosts include Repairs, Supplies, Utilities, Cleaning and maintenance, and Insurance.
Can I approve all transactions at once?
Yes. Use the select-all checkbox at the top, then click Approve in the bulk action bar. Review the transactions first -- bulk approve is fast but does not let you edit individual fields.
What does the "Bank" badge mean on my expenses?
It indicates the expense (or revenue entry) was created through bank sync rather than manual entry or AI receipt scanning. You can filter by source to see only bank-synced entries.
