Overview

You can edit work log entries to fix mistakes or add detail, and delete entries you created in error. Because work logs directly affect your compliance hour totals, it is important to understand how changes impact your records.

How it works

Editing a work log

  1. Go to Financials > Work Logs and click the date link on the entry you want to edit.
  2. You land on the work log detail page with the same form you used to create the entry.
  3. Change any field: category, hours, date, property, reservation, or description.
  4. Click Save changes.

All editable fields:

DescriptionYes

You can also use bulk editing to change the property or category for multiple entries at once. Select entries using the checkboxes in the list view, then click Edit in the bulk action bar.

Deleting a work log

Single delete: Deletion is available through the work log detail page or the API.

Bulk delete:

  1. In the work log list, select one or more entries using the checkboxes.
  2. Click Delete in the bulk action bar.
  3. Confirm the deletion. You can delete up to 100 entries at once.

Impact on compliance totals

When you edit the hours or date on a work log entry, your cumulative hour totals (displayed on the Today dashboard and in the hours summary) update immediately. If you change the hours from 2.0 to 1.5, your year-to-date total decreases by 0.5 hours. If you delete an entry, those hours are removed from your totals entirely.

This means that editing and deleting work logs is not just a data management action — it directly changes the compliance picture that you and your CPA rely on.

Audit trail

Every create, update, and delete action is recorded in the audit log with your user ID, timestamp, and the fields that changed. This provides a tamper-evident record that supports the integrity of your documentation.

Limits & requirements

  • You must have an active paid plan to edit or delete work logs.
  • Deletion is permanent. There is no trash or undo feature.
  • Bulk operations are limited to 100 entries per action.
  • Team members with the cleaner role can only edit their own work log entries. Managers and admins can edit entries for their assigned properties (or all entries for owners/admins).
  • Editing a work log does not change its original creation timestamp.

FAQ

Can I undo a deletion? No. Deleted work logs cannot be recovered. If you are unsure about an entry, consider editing it (for example, reducing the hours to zero is not possible, but you can add a note to the description) rather than deleting it.

Does editing a past entry look suspicious to the IRS? The IRS values accuracy over perfection. Correcting a genuine mistake is reasonable. The audit log preserves when the original entry was created and when it was modified. Frequent, large changes to historical entries could raise questions, so aim to enter accurate data from the start and make corrections promptly when needed.

Who can edit and delete work logs? Owners and admins can edit and delete all work logs. Members with the manager role can edit and delete work logs for their assigned properties. Members with the cleaner role can only edit and delete their own entries.

Can I bulk-edit the hours or date? No. Bulk editing supports property assignment and category changes only. To change hours or dates, edit each entry individually.
