Overview

Some checklists include waivers or agreements that your host needs you to sign. These might be house rules, rental agreements, liability waivers, or other documents. Signing is done entirely within your ArrivHQ dashboard -- there is nothing to print, scan, or mail. Depending on the document, you may encounter a simple acknowledgment or a more formal e-signature process.

How it works

Tier 1 -- Acknowledgment

This is the simpler signing process, used for house rules, parking policies, checkout instructions, and similar documents.

On desktop:

  1. Open the checklist and navigate to the agreement step.
  2. Scroll through the full agreement text. The consent checkbox at the bottom stays disabled until you scroll all the way down.
  3. Check the box labeled "I have read and understand the above."
  4. Type your full legal name in the name field.
  5. Click Accept and Sign.

On mobile:

  1. Tap the agreement step in your checklist.
  2. Tap Read Agreement to Sign. The agreement opens in a full-screen overlay so you can read it without distractions.
  3. Scroll through the entire agreement. When you reach the bottom, close the overlay.
  4. Check the consent box.
  5. Draw your signature on the signature pad using your finger or stylus, then print your name in the name field.
  6. Tap Accept and Sign.

A locked copy of the agreement is generated and stored. Your host can see that you signed and when.

Tier 2 -- E-Signature

This is the formal signing process, used for rental agreements, liability waivers, damage responsibility documents, and fee authorizations. It has three phases.

Phase 1 -- ESIGN Disclosure:

Before you sign, you are shown an Electronic Signature Disclosure. This explains your rights under the federal ESIGN Act, including the right to receive paper copies and to withdraw your consent. Scroll to the bottom of the disclosure and check "I consent to conduct this transaction electronically" to proceed.

Phase 2 -- Review and Initial:

You read the agreement section by section. A progress indicator shows where you are (for example, "Section 2 of 4"). For each section:

  • On desktop: Scroll through the section text and type your initials in the initials field.
  • On mobile: Scroll through the section text and draw your initials on the signature pad.

You must complete every section before moving to the final step.

Phase 3 -- Sign:

You see a summary of the full document and all the sections you initialed. Type your full legal name and click or tap Sign and Agree.

After signing:

  • A locked PDF is generated with a "SIGNED COPY -- DO NOT ALTER" watermark. It includes the full agreement text, your initials for each section, your signature block, and a content hash that proves the document has not been changed.
  • You receive a confirmation email with the signed PDF attached.

Signing for minors

If you are a parent or guardian traveling with children, their waivers appear in your portal. You sign on their behalf.

  1. Open the agreement step. If a minor is assigned, you see a section indicating you are signing on behalf of another person.
  2. Select your relationship to the minor (parent, legal guardian, or other authorized representative).
  3. Complete the signing process as described above -- reading the agreement, providing consent, and signing.

The signed copy notes that it was executed on behalf of the minor, including your name, the minor's name, and your relationship.

What "drawn" signature means

On mobile devices, you draw your signature with your finger or a stylus on the signature pad instead of typing it. This is a legal electronic signature under the ESIGN Act -- it carries the same weight as a typed name. The drawn signature is captured and included in your signed copy.

Limits & requirements

  • You must scroll through the entire agreement text before the consent checkbox becomes active.
  • Your signed name must be between 2 and 80 characters.
  • For Tier 2, section initials must be between 1 and 10 characters and cannot be identical to your signed name.
  • Once you sign, the record is locked. You cannot change your signature or withdraw it after signing. If you have concerns, contact your host through messaging before signing.

FAQ

What is the ESIGN Disclosure and why do I see it? The ESIGN Disclosure is required by federal law (the ESIGN Act) when you sign a document electronically. It explains your rights, including the right to request a paper copy and the right to withdraw your consent. You only see it for Tier 2 (E-Signature) agreements -- the more formal documents like rental agreements and liability waivers.

Do I get a copy of what I signed? For Tier 2 agreements, yes -- you receive a confirmation email with a locked PDF attached. For Tier 1 acknowledgments, the signed record is stored in your dashboard and your host has a copy, but no email is sent automatically.

Can I sign on my phone? Yes. The entire signing process works on mobile devices. On mobile, you draw your signature and initials with your finger or stylus instead of typing them.

What happens after I sign? The agreement step is marked as complete in your checklist. Your host can see that you signed, along with the timestamp. The signed record is permanent and cannot be modified by you or your host.

I made a mistake -- can I undo my signature? No. Signed records are locked at the moment of signing. If you believe there is an error, contact your host through the messaging feature to discuss it.
