Overview
Generating a compliance pack takes your property's financial and compliance records, bundles them into a formatted PDF with supporting receipts and an evidence index, and packages everything into a single downloadable zip file. You select a property and a period, click generate, and ArrivHQ handles the rest. This article walks through the full workflow from start to finish.
How it works
Selecting a property
- Navigate to the Compliance Packs section in the sidebar.
- If you manage multiple properties, select the property you want to generate a pack for. Each pack covers exactly one property.
- If you have only one property, it is pre-selected.
Archived properties are still available for pack generation. Owners and admins can generate packs for any property -- active or archived -- because historical data remains valuable for supporting documentation.
Choosing a period
- Select the period type: Monthly or Annual.
- Choose the specific month or year from the picker.
For monthly packs:
- Completed months include the full month of data (for example, January 1 through January 31).
- The current month generates a month-to-date pack. The cover page and headers display "Month-to-Date as of [generation date]" so it is clear the data is partial.
For annual packs:
- Completed years include the full calendar year (January 1 through December 31).
- The current year generates a year-to-date pack, clearly labeled on the cover page.
The earliest selectable period is the property's creation date or the earliest logged record for that property, whichever is earlier. The latest selectable period is the current month or year.
Generating the pack
- Review your monthly usage counter. ArrivHQ displays how many packs you have used this month and how many remain (for example, "2 of 5 packs used this month").
- Click Generate. ArrivHQ begins assembling the PDF, collecting receipt files, and building the evidence index.
Generation typically takes a few seconds to a couple of minutes depending on the volume of records and the number of receipt attachments. You do not need to stay on the page -- the pack generates in the background.
Monitoring status
- The pack appears in your list with a status indicator:
- Processing -- The pack is being assembled. No action needed.
- Completed -- The pack is ready for download.
- Failed -- Something went wrong during generation. You can retry without it counting against your monthly limit (failed generations do not count as a use).
If a pack fails, click Retry to re-attempt generation. The retry uses the same property and period settings.
Downloading the zip
- Once the status shows Completed, click Download. Your browser downloads a zip file containing the compliance report PDF, a receipts folder, and the evidence-index CSV.
- Send the zip to your CPA or save it to your records.
Download links are time-limited for security. Each time you click Download, a fresh link is generated that expires after 15 minutes. You can download the same pack as many times as you need -- just click Download again for a new link.
Re-generating for the same period
You can generate a new pack for the same property and period at any time. Each generation is a point-in-time snapshot, so if you have added, edited, or deleted records since the last generation, the new pack reflects those changes. Re-generating does count as a new generation against your monthly limit.
Deleting a pack
Owners and admins can delete generated packs. Deleting a pack removes the zip file from storage and the entry from your list. This action is permanent and cannot be undone. The deletion is recorded in the audit log for your records.
Managers and bookkeepers cannot delete packs.
Limits & requirements
- Compliance Packs are available on the Comply, Host, and Portfolio plans. The feature is not available during the trial period.
- Comply: 3 packs per calendar month, counted across all properties (tenant-wide).
- Host: 5 packs per calendar month, counted across all properties (tenant-wide).
- Portfolio: 5 packs per property per calendar month. A Portfolio account with 4 properties can generate up to 20 packs per month total.
- The counter resets on the 1st of each month. Only successfully completed generations count.
- When you have reached your monthly limit, the Generate button is disabled and a message tells you when the counter resets or which plan upgrade would increase your limit.
- Who can generate: Owners, admins, and managers. Bookkeepers can view and download existing packs but cannot generate new ones. Cleaners, maintenance, and viewer roles have no access to compliance packs.
- Who can delete: Owners and admins only.
- Periods with zero data across all sections still produce a valid pack. An empty pack serves as documentation that you checked and had no activity for that period.
FAQ
How long does generation take? Most packs finish within a few seconds. Packs with a large number of receipt attachments -- especially annual packs for properties with high expense volume -- may take a minute or two. You do not need to keep the page open while generation is in progress.
Does a failed generation count against my limit? No. Only completed generations count. If a pack fails, you can retry at no cost to your monthly allowance.
Can I generate a pack for a property I manage but do not own? Yes. Managers with an active assignment on a property can generate and download packs for that property. The pack cover page displays the property owner's name (not the manager's), and the manager's identity is recorded in the audit log as the person who generated the pack.
What happens to my packs if I downgrade my plan? Previously generated packs remain available for download. Your new plan's monthly generation limit applies going forward. If your previous plan allowed more generations per month, you will be limited to the lower amount after downgrading.
Can I generate packs for an archived property? Yes. Owners and admins can generate packs for archived properties. The period selector shows the full data range regardless of whether the property is currently active. This is important for tax preparation -- you may need records from a property you no longer actively manage.
