Overview

Most of your checklists come from templates that auto-create on reservation events (check-in, check-out, turnover). Sometimes you need a one-off — a single extra walkthrough for a difficult guest, a property-specific maintenance task that doesn't warrant a template. You can add a checklist directly to one reservation without modifying any template.

How it works

From the reservation

  1. Open the reservation.
  2. Click Add checklist in the Checklists panel.
  3. Pick a target audience: host, guest, cleaner, or maintenance.
  4. Either:
    • From a template — pick an existing template and a copy is created on this reservation
    • From scratch — add steps inline
  5. Save.

The new checklist run is attached to the reservation just like an auto-created one. It shows up on the Today page, in checklist history, and triggers the same notifications.

From-template vs from-scratch

  • From a template — easy when you already have the shape. The reservation gets its own copy; future template edits don't affect this one-off (since it's a copy at this point).
  • From scratch — useful for genuine one-offs that don't justify a template.

Differences from auto-created runs

There aren't any — once created, the run behaves identically. Template-step sync still applies if you used a template (template adds propagate to this run; deletes soft-disable steps). See creating checklists.

Removing a one-off

If you added one by mistake, delete the run from the reservation's Checklist panel. Audit records the deletion.

Limits and requirements

  • Plan: One-off checklists are included on every plan.
  • Audience: A one-off can have any audience. A guest one-off appears on the guest's To-Do tab; a cleaner one-off appears on the cleaner pack page.
  • Cascading: One-off runs do not propagate to other reservations. Each reservation owns its own runs.

FAQ

When should I use a template vs a one-off?

Use a template when the checklist will run on multiple reservations on a consistent trigger (every check-in, every turnover). Use a one-off when it's truly bespoke to one trip.

Can I save a one-off as a template later?

Not directly — there's no "Save as template" button. Recreate it as a template manually if it ends up being reusable.

Does a one-off trigger checklist notifications?

Yes. Whether host or guest, normal notification routing applies.

What audience should I pick if the task is host-side but the cleaner does it?

Pick cleaner. The audience controls who sees the run and who gets notified. Host-side means it lives in your dashboard; cleaner means it lives in the cleaner pack page.

Can I attach a checklist after the trip has started?

Yes — runs can be added mid-stay or even after check-out (e.g. a follow-up maintenance task). The reservation status doesn't gate creation.
